Campus Mail Policies and Procedures
- Students must live in the residence hall in order to receive a student
mailbox
- Individual mailboxes will be provided with
a student identification card
- Only one student to a mail unit
- Student must have picture identification in
order to pick up accountable mail and packages in the mailroom
- NSU Postal Services will not be responsible
for cash in the mail
- Please use the Name on the NSU ID for the
incoming mail. Do Not use nicknames
- DO NOT
allow others to pick up mail for you. NSU Postal Services will not be
responsible
- Check your mailbox daily
- Mail will be returned to sender after 10
days
- Lost combination will be distributed
between 1:00 p.m. – 3:00 p.m.

Eligible Mailers
- The following groups may send campus mail to anyone with a NSU mailbox:
- NSU Departments or employees
- Current NSU Mailbox occupants
- NSU students enrolled in the current term
- Official student or university organizations – The student or university
organizations officially recognized by NSU
- NSU affiliates – The business or organizations that have an office or an
official presence on the NSU Campus
Mail Content
NSU reserves the right to refuse to box any campus mail that is not
compatible with NSU standards. This mail will be considered undeliverable
and returned to the sender or discarded if there is not a return address.
Campus Mailing Guidelines
All campus mail must meet the mail piece design and mailing preparation
guidelines.
- Postal regulations require that all mailers using a meter machine have a
return address; therefore, all mail must be properly identified with the
department’s name and five-digit account or grant number and the University
address.
- Campus mail should not be mixed with outgoing official mail.
- Personal mail should be separated from official outgoing mail.
- All letter mail sent to the mailroom for processing and postage must
remain unsealed with flaps turned down to simplify machine sealing.
All mail of like weight and size should be grouped together and secured with
a rubber band.
- All 8 x 11 1/2” or larger manila envelopes must be closed with a metal
clasp or tape.
- Mail failing to conform to these guidelines will be returned to the
originating department.
- Interdepartmental envelopes should be used for all campus mail.
Letterhead envelopes should be used for official campus mail only.

- Sort mail in designated mailboxes

- Assign mail boxes to on campus students
- Post a daily list of packages and accountable mail for students

Central Warehouse
- Distribute mail to mailboxes by 12:00 daily.

- Distribute Spartan Suites mail
- Distribute Spartan Suites accountable mail

First Class Mail – Any mail matter that may be mailed as First
Class Mail
Priority Mail – Two to three days – no guarantee
Third Class Mail – The following items may be classified as Third
Class Mail:

Fourth Class Mail/Parcel Post
– the following items maybe classified as Fourth Class Mail
- Library Materials
- Books
- Films

Accountable Mail
- Express Mail
- International Mail

United States Postal
U. S. Mail Collections
Only United States Postal Services mail is handled in the mailroom. All
other services i.e. UPS, Airborne, DHL. FedEx, etc is handled by the Central
Warehouse.
The United States Postal Service collects our outgoing mail Monday through
Friday at 4:00 p.m.
The closest Postal Service U. S. Mail collection box is located at 600 Church
Street
